Data Retention Policy
Summary: We keep your data only as long as necessary to deliver the Service, comply with legal obligations, and resolve disputes. You can request deletion of your personal data at any time by contacting contact@ikonmarketing.net.
1. Purpose and Scope
IKON Global Group, Inc. ("IKON") is committed to responsible data stewardship. This Data Retention Policy describes how long we retain different categories of data collected through the IKON Marketing Suite platform and the criteria used to determine those retention periods. This policy supplements our Privacy Policy.
Retention periods are set based on: the purpose for which data was collected; applicable legal and regulatory requirements; the need to resolve disputes or enforce agreements; and technical and operational necessity.

3. Active Account Data
While your account is active, IKON retains all data necessary to provide the Service to you. This includes your business profile, connected platform tokens, campaign data, content library, analytics history, team member records, and all other data generated through your use of the platform.
You may delete specific data types within the platform at any time (e.g., delete individual posts, remove connected accounts, clear campaign history). Platform-level deletion is processed immediately on live systems, subject to backup retention (see Section 6).
4. Post-Cancellation Retention
When you cancel your subscription or your account is terminated:
- Access: Your access to the platform ceases at the end of the paid billing period
- Data hold: We retain your data for 90 days post-cancellation to allow account reactivation if desired
- Permanent deletion: After 90 days, account data is permanently deleted from our live systems
- Backup purge: Data may persist in encrypted backups for up to 30 additional days before those backups are overwritten
- Billing records: Transaction and invoice records are retained for 7 years regardless of account status
5. Media and Content Lifecycle
5.1 User-Uploaded Files
Photos, logos, and media files you upload are retained for the duration of your account. You may delete individual files from within the platform at any time. IKON does not duplicate uploaded media files; we store one copy per uploaded asset.
5.2 AI-Generated Images
Images generated by IKON's AI for your campaigns are associated with your account and retained for the account lifetime. IKON's automated storage cleanup process manages AI-generated image lifecycle to prevent storage overloading while preserving recently used assets.
5.3 MMS-Texted Media
Media attached to outbound MMS messages is auto-purged from IKON's servers after the message has been delivered. Delivery records (without media content) are retained for audit purposes.
5.4 User-Configured Auto-Purge
Users on qualifying plans may configure auto-purge settings for uploaded media within platform settings. Available options: 30, 60, or 90 days from upload date. These settings apply only to the media library and do not affect content already published.
6. Backup and Disaster Recovery
IKON maintains encrypted backups of the platform database for disaster recovery purposes. Backups are retained on a rolling basis and are overwritten periodically. Data deleted from live systems may persist in encrypted backups for up to 30 days. Backup data is not accessible by IKON staff during normal operations; it is used only for system recovery in the event of a catastrophic failure. We cannot guarantee recovery of data from backups after 30 days following deletion from live systems.
7. Legal Holds and Regulatory Compliance
Notwithstanding the retention schedules above, IKON may retain data beyond the standard periods when:
- Required to comply with a legal obligation, court order, or regulatory requirement
- Necessary to defend against, prosecute, or resolve legal claims or disputes
- Subject to a law enforcement request or investigation
- Required by applicable law, including tax and financial reporting requirements
Where a legal hold applies, we will retain only the data relevant to the legal matter and for only as long as necessary.
8. Third-Party Data
Data retrieved from connected third-party platforms (Facebook, Google, LinkedIn, etc.) through their APIs is governed by both this policy and the data retention policies of those platforms. IKON retains API-retrieved data (follower counts, engagement metrics, review content) for the duration of the account. When you disconnect a platform, API-retrieved data from that platform is retained until account deletion but no further data is collected.
9. Deletion Requests
You have the right to request deletion of your personal data at any time. To submit a deletion request:
- Email: contact@ikonmarketing.net with subject line "Data Deletion Request"
- Include your account email address and, if applicable, specific data categories you wish deleted
- We will acknowledge your request within 5 business days and complete deletion within 30 days
- We will provide confirmation of deletion upon completion
Note: We cannot delete data we are legally required to retain (e.g., billing records required by tax law). We will inform you of any such limitations when processing your request.
